The Quick Way to Change Claims in Claims Management

Have you ever wanted to know how to make changes to claims in ‘Claims Management’ in bulk?

As you know, claims management is the place where you go to manage all of your claims. It is a common question for customers to ask us how to change the status of claims in bulk or in batches. Huge Fix for Statement Notes in Medisoft v23

We all know that Medisoft is a great billing program, but there are certain things that can be a real source of frustration for billers.

One of those is the fact that there is only 1 field for entering any sort of notes regarding transactions in a patient statement.

Sometimes the biller wants to write down some internal notes that the patient shouldn’t see. Sometimes the biller needs to write in information about a rejection or denial or partial payment from the insurance company. Sometimes there are other notes that need to be made, but where are they supposed to go? We know this causes a lot of challenges for Medisoft users.

In the newest version of Medisoft, this all gets fixed (plus, some bells and whistles, too).

In Medisoft Version 23, there are now 3 separate fields for notes:

  1. Notes that can get applied to the statement sent to patients
  2. Internal Notes
  3. Custom Notes that you feel would fit your practice

This alone should solve a lot of problems, save a lot of time, and make life easier for a lot of billers. But, it gets even better!

Now, Medisoft will auto-apply notes from the insurance carrier. It is just a one-time setup for all the reason codes in your office and then every time you get information back from the insurance carrier, Medisoft will automatically put that into the correct field and it will show up on your statements you sent to the patient.

For example, if a patient is treated and you submit a claim to the insurance carrier, and that claim is rejected because it is not covered, the insurance carrier will provide a code for that rejection with an explanation. That code will trigger Medisoft to apply a pre-written note by you (the biller) into a statement that you end up sending to the patient. This is going to be a huge time saver for you and adds a real nice layer of convenience to help you get much more done in a lot less time. You’re going to love it.

Removing Case Default Options In Medisoft

How to Remove Information That is Defaulting for All New Cases in Medisoft

 

Example:

You’re creating new cases for patients at the office and you notice that every case you create has information from another patient pre-populated in the fields.

What Causes this?

Typically when this happens it means that a case in the system has been marked as a “default“.

Within the Medisoft Case window, you will see a button on the right hand side labeled  “set default “– when you push this button it will retain the information and pre-populate the fields on all new cases to save time.

How To Remove the Default Values

In order to remove the default value so that all new cases are created blank (without existing information) – Simply open a new case ” right click  > New ” from this window you can hold down the Ctrl button on your keyboard which will change the “set default” text to “remove default” allowing you to remove the values that have been saved in the case window.

After clicking to “remove default” you should be able to create new cases that are blank.

When printing a patient statement it is important to ensure that it is both easy to read and correct in the information that it provides.

By default, the Medisoft program is set to generate patient statements and show the dates of service in order by case as oppose to by date of service.

By not having the charges sorted by date of service, it can lead to confusion on the patient’s end when reviewing their statement.

How To Add Grid Columns In Medisoft

Adding Grid columns into Medisoft Transaction Entry

Have you ever been in Transaction Entry and needed fields such a claim number that weren’t there?

The Medisoft Transaction Entry window is one of the most used sections of the Medisoft program, this is the screen that you would enter your charges and payments into when billing.

Within Medisoft Transaction entry you have the option to edit the grid column options by adding or removing items from the grid. Many of our customers have expressed the need to add additional fields to this grid.

In the grid options you have the ability to add things such as claim number, modifiers, comments, and more. Having these fields enabled would allow the user to see the information much more efficiently without the need to go to several different screens to obtain the information.

If you are a biller, and find yourself going back and forth between screens to find things like Claim numbers and comments this video will explain how you can expedite this process.

Submitting Test Claims In Medisoft

How to Put Medisoft into Test Mode for Submitting Test Claims

This video is an excerpt from a recent webinar. In this video Loree discusses the options that are available for testing with your clearinghouse. Loree also demonstrates in Medisoft how to put the program into test mode so that you can submit test claims. There are a few other related steps that also need to be done in the program so that you can submit, and those are covered in the video as well.

At this late point in the game, if you want to submit test claims, you are somewhat limited with what can be done, but there are still options. So watch the video to see what is available to you.
