The Final Days of Windows 7 – Are You Prepared?

All technology is iterative. Whether we are talking about software or hardware, there will come a time when your current tools will no longer fit your needs. Deciding when to upgrade is always a bit of a guessing game. You could choose to be an early adapter, but that means you may be dealing with 1.0 bugs and other growing pains. Waiting too long to switch, however, can create much more serious problems.

Why You Should Be Preparing to Switch

An expiration date for making a change is exactly what Windows 7 users are facing right now. On January 14th, 2020, Windows will end support for Windows 7. Updates will stop, and the operating system will enter lame-duck status. Technically, you’ll still be able to use Windows 7 after that date, but if you’re one of the 40-plus percent of businesses who still use the platform, you need to think about switching as soon as possible. Here are a few key reasons why:

Ease of Integration

Your operating system may be the foundational platform from which every other desktop tool springs, but it’s far from the only software resource you rely on. In today’s world, every business needs a whole suite of services in order to run at their best. Sticking to an out-of-date operating system will cause your other programs to falter. Developers simply aren’t updating their software with an eye toward Windows 7. Over time, many of the applications essential to your operations will become unusable in Windows 7.

The same is true of hardware. New devices and components are released all the time, and they are all designed to work with the operating systems of today and tomorrow. Unfortunately, Windows 7 is quickly becoming yesterday’s operating system. Using Windows 7 with such hardware limits its capabilities. Eventually, it will become difficult to find hardware that’s compatible with Windows 7 at all.

Security Concerns

While hindering your performance is far from desirable, that pales in comparison to the safety risks you’ll be living with if you don’t upgrade in time. Once Microsoft ends support, security patches will cease. These patches are essential for combating the latest tactics used by hackers to break into your network. Without them, you are extremely vulnerable.

Even worse, hackers know to target businesses and individuals who fail to upgrade to current operating systems. They correctly reason that if somebody is foolish enough to use an outdated platform, they probably aren’t wise enough to have adequate defenses. Basically, an unsupported operating system is the equivalent of a “kick me” sign on your back, only this one reads: “hack me.”

We are just about 6 months away from the death knell of Windows 7, so you may think you have time before a change is necessary. The truth is: You should act now so that once the final date arrives, you’ll have all of the machines ready to go. That’s especially true if you’re considering changing your service provider altogether, rather than simply migrating forward to Windows 10. Through February and March we ran a series of webinars designed to help prepare small and independent practices get ready for the transition to ICD-10.  It was a four part webinar series and now you can access all of the videos.

It’s time to get ICD-10 Ready

If you’ve read anything in the news lately about ICD-10, you already know that the recent SGR Bill was passed and did not include any further delays to ICD-10.  The transition date is set for October 1, 2015.  That is five months away! If you are not ready to start submitting your claims with ICD-10 codes come the first of October, your practice is liable to face some pretty significant challenges.

Codes on Disk and Encoder Pro

To help make the ICD-10 transition a little easier, you may want to consider Codes on Disk and Encoder Pro.

Codes on Disk is a tool available for both Medisoft and Lytec.  Instead of looking up your codes in a book and then manually entering them into the program, you can just import all of the codes directly into your program!

And with Encoder Pro, you will be able to easily search all 3 sets of codes (ICD-10, CPT, and HCPCS codes) to get integrated search results, code details and descriptions.  This can all be done within either Medisoft or Lytec without having to open a code book or leave your program.  This is a major time saver.

Lytec 2015 with Mobile Patient Intake

Lytec’s new Patient Intake Mobile application for iPad® and AndroidTM automates the entire information-gathering process – giving you the ability to save valuable time and money. The patient’s information will flow directly into Lytec for you to validate and apply to their account.

The new patient intake mobile application for Lytec is also extremely valuable and helpful for the Dr. while making rounds at the hospital.  Any new patient the Dr. meets while out of the office can be entered into Lytec directly from the mobile app, eliminating duplicate data entry and needless paperwork.

In addition to this, the Dr. can enter all charges on an electronic superbill using the mobile app.  This information will be immediately available in Lytec to the biller who no longer has to re-key the informaiton or deal with illegible handwriting on the old paper superbill.  This makes it so that the biller will be able to submit claims 60% sooner than before.

Lytec 2015 is ICD-10 Ready and will make transition easier with electronic superbill

There are several new features in Lytec’15 designed to help you make the transition to ICD-10 easy.  Perhapse the best feature though would be the electronic superbill as part of the Mobile App.

On average most practices have a paper superbill that is about 2 pages long.  With the massive expansion in codes the 2 page superbill could now be as long as 9 pages!  Having an electronic superbill with the Lytec Mobile app is going to make a Doctor’s life much easier.

02/12 CMS 1500 Claim Form in Lytec

 Lytec 2014 is the only version that includes fields, programming, and report forms necessary to produce the new 02/12 CMS 1500 Claim form. 

Timeline

The NUCC (National Uniform Claim Committee) has approved a transition timeline for the version 02/12 CMS-1500 Claim Form. In June, the NUCC announced the approval of the updated 1500 Claim Form that accommodates reporting needs for ICD-10 and aligns with requirements in the Accredited Standards Committee X12 (ASC X12) Health Care Claim: Professional (837P) Version 5010 Technical Report Type 3.

The NUCC approved the following transition timeline at its in-person meeting in Chicago on August 1, 2013.

  • January 6, 2014: Payers begin receiving and processing paper claims submitted on the revised 02/12 CMS-1500 Claim Form.
  • January 6 through March 31, 2014: Dual use period during which payers continue to receive and process paper claims submitted on the old 1500 Claim Form (version 08/05).
  • April 1, 2014: Payers receive and process paper claims submitted only on the revised 02/12 CMS-1500 Claim Form.

Changes to the 02/12 1500 form and where the data will pull from in Lytec 2014:

To accommodate the changes to the 02/12 CMS-1500 claim form, new fields have been added to the Billing Options – Billing Information tab. Use these fields for entering specific detail in boxes 8 and 9. These fields apply only to the 02/12 CMS-1500 Claim form.

Please note that only Lytec 2014 SP1 contains the 02/12 forms programmed with new requirements released by Medicare. Since these requirements did not come out until after Lytec 2014 had already been released any users that bill Medicare on paper will need to ensure that they are on Lytec 2014 SP1. Any notes in this article that mention how the box will be filled out for Medicare claims are only effective if the user is on Lytec 2014 SP1.

Form Changes:

This article only includes instructions for boxes on the 02/12 form that have changed from the 08/05 version. In the images below the 08/05 form is depicted in black and the new 02/12 form is in red. Where there was no visual change to the box only the description of the change is included.

Box 1 Insurance Type: Champus has been removed and changed to Tricare.

Box 2 Patient’s Name: The NUCC suggests not printing the patient’s name when the patient is the subscriber. However, the patient’s name will continue to print on the form.

Box 4 Insured Name: If the Insurance Type of the destination payer is worker’s compensation, the patient employer name will print. Lytec will print the value in the Specify Other Employer screen first. If that is blank, it will print the value in the Employer field.

Note: Medicare did not release the instruction manual for the new CMS-1500 02/12 Form until after Lytec 2014 was released. Therefore, users will need to install Lytec 2014 SP1 in order to print a paper claim formatted to Medicare’s specifications. Links to download SP1 can be found here. The Lytec 2014 SP1 Release Notes contain instructions on how Lytec populates the claim form for Medicare.
