Most Medisoft users know the basics, but there are a few powerful features that often get overlooked — and they can save your team a ton of time. In this post, we’ll walk through three underrated tools that can help you run better reports, stay organized, and speed up data entry.
1) Use Billing Codes to Group Patients for Better Reporting
If you’re not using billing codes, you’re missing out on one of the easiest ways to organize your patient base. Billing codes let you group patients into categories — like Workers’ Comp, Medicare, Cash Pay, Personal Injury, etc. — which makes running reports much easier.
Why it matters:
Let’s say you want to run a report that only includes your Medicare patients or get a headcount of all your Workers’ Comp cases. Without billing codes, some of these filters won’t be available.
Where to find it:
In the patient’s chart, click Edit, then go to the Other Information tab. You’ll see a dropdown for Patient Billing Code. By default, all patients are listed under “A,” but you can create new codes by right-clicking and selecting New. Codes can be two characters long (letters or numbers), and you can name them however you like.
It’s a simple way to make your reports a lot more useful.
2) Copy Cases Instead of Starting from Scratch
When a patient changes insurance, don’t create a brand-new case from scratch. Instead, use the Copy Case function.
Why it matters:
Copying an existing case saves time by carrying over the basic patient information, so you only have to update what’s changed — like insurance policy, carrier name, or coverage dates.
Where to find it:
In the patient’s case screen, click Copy Case. Update the insurance info under the Policy tab and rename the case (e.g., “2025 Humana”) to keep things organized. This ensures you keep a full history of which charges went to which policy without duplicating work.
Bonus tip: While you’re in the case screen, press F11 to bring up the Quick Balance window. It’s a fast way to check a patient’s balance without leaving the screen.
3) Use Multilink Codes for Faster Transaction Entry
If your office frequently bills multiple procedure codes per visit, you’ll love Multilink Codes. This feature lets you create a shortcut that adds all the related codes, modifiers, diagnosis codes, and pointers with just a couple of clicks.
Why it matters:
You can set up a Multilink for common visits — like a diabetes screening — so the system adds everything at once instead of entering each line manually. That’s a huge time-saver.
What’s new:
In recent versions of Medisoft, you can now default diagnosis codes, modifiers, and diagnosis pointers along with your procedure codes and units. That wasn’t possible in older versions.
How to use it:
- Go to Lists > Multilink Codes
- Click New, assign a shortcut name, and add the codes you want
- You can default modifiers, diagnosis codes, pointers, and units for each line
- In Transaction Entry, click the Multilink button, choose your shortcut, and hit Create Transactions
That’s it — your whole visit is entered instantly, with everything properly linked.
