How to efficiently process statements in Medisoft
We’ll show you some of the issues reported to our tech support team. These include billing staff manually reviewing paper statement batches, reviewing each one individually. This is labor-intensive and inefficient.
Some of you try to hold statements older than 30 days, then forget to unhold them. Later, you’re trying to remember who still has a balance and needs a statement resent.
We’ll show you a helpful tool in Medisoft that can address this. Printing, stuffing envelopes, adding stamps, and discovering the address is outdated—all these steps take time and drive up costs. We want to help you regain control.
We’ll focus on two solutions: Cycle Billing and BillFlash.
Cycle Billing in Medisoft
To access Cycle Billing:
Go to the File menu in Medisoft.
Select Program Options, then the Billing tab.
Check the box for Use Cycle Billing.
Set the number of days between statements (e.g., 30 days).
Now, Medisoft will automatically include patients with outstanding balances in new statement runs once that time period has passed.
To make this more efficient, customize your Statement Management screen:
Click the small black dot in the top-left corner to add columns like:
Next Statement Date
Last Billing Date
Remaining Balance
Statement Count
This way, you don’t have to open each statement individually to find details. If a patient calls about a balance, you can see what was sent and when—without the guesswork. No more manually toggling statements from “hold” to “ready.”
BillFlash: Electronic Statement Processing
BillFlash is built into Medisoft. When printing statements, select Electronic and choose BillFlash.
With BillFlash:
Statements are formatted automatically.
You can review batches online before sending.
You can delete individual statements, change formatting (e.g., red text for long overdue), and run reports.
Features include email/text notifications and payment options for patients.
This electronic process is faster, more efficient, and gives you more control than manual workflows. Many customers say it’s their favorite tool in Medisoft.
