Medisoft: Implementing a Security Setup

Ensuring the security of your Medisoft data is vital in protecting patient information from unauthorized access. One effective way to achieve this is by setting up user logins and passwords for each Medisoft user. In this blog post, we’ll guide you through configuring these settings to safeguard your data and streamline user access management.

User logins and passwords help restrict access to sensitive data, ensuring that only authorized staff members can access specific databases. This setup also lets you track user activities through audit logs and control permission levels, enhancing overall data security.

Step-by-Step Guide to Setting Up User Logins

1. Access Security Setup

  • Go to the File menu and select Security Setup. This opens the security setup screen.

2. Create a New User Login

  • Click the New button to create a new user login.
  • In the User Entry screen, enter a login name (up to 10 characters). Note that the login name is not case-sensitive and is automatically converted to uppercase.
  • Enter the full name of the user (up to 16 characters). If the name is long, use an abbreviation to identify the user.

3. Set the Password

  • Enter a password (up to 8 characters). The password is not case-sensitive and can include characters, numbers, and symbols.
  • Reconfirm the password by typing it again in the designated field.

4. Assign Access Levels

  • Set the access level for the user. Level 1 is the highest access (administrative level), while level 5 is the lowest (restricting access to many areas.)
  • Ensure you have at least one user with access level 1 to manage other user logins and settings.

5. Set Expiration Date (Optional)

  • If you have temporary staff, set an expiration date for their access. Permanent staff typically do not need an expiration date.

6. Security Question Setup

  • Choose a security question from the drop-down list and provide an answer. This helps reset the password if it is forgotten.
  • Reconfirm the answer and save the settings.

Managing Multiple Databases

If you operate multiple databases, repeat the security setup for each one. You can use the same user login across different databases to streamline access for staff members who need it.

1. Switch Databases

  • Go to the File menu, select Open Practice, and choose the next database.

2. Repeat Security Setup

  • Follow the same steps to set up user logins and passwords for the new database.

Setting up user logins and passwords in Medisoft is an essential step in safeguarding your practice’s data. By following these steps, you can control access levels, ensure data security, and maintain an accurate audit trail of user activities. Implement these security measures to protect your Medisoft data from unauthorized access and enhance your practice’s overall efficiency.
