How to get insurance verified in Medisoft
The next billing issue we’ve noticed is inaccurate insurance verification.
Patients sometimes receive services without active or valid insurance, which leads to claim denials due to incorrect eligibility data. This causes billing delays and extra work as your team hunts down missing information.
It also damages patient trust. They get unexpected bills after the visit and wonder, “Why wasn’t this caught ahead of time?” Many would have gladly paid if they’d known about their responsibility up front.
The Fix: Real-Time Insurance Eligibility with eMEDIX
Instead of calling payers or relying on insurance cards, you can verify eligibility through the eMEDIX service built into Medisoft. This works for both new and existing patients.
Verifying Existing Patients in Medisoft
Open the patient’s case.
Click the Eligibility button on the right.
Click Verify at the bottom.
Eligibility details will populate within 5–10 seconds, including:
Copay and deductible info
How much has been paid toward the deductible
Coverage start date and status
Specialty-specific benefits
Filter by Specialty Type
Want to only see benefits relevant to your specialty (e.g., chiropractic, mental health)?
Go to File > Program Options > Data Entry tab.
Scroll down to the Service Type Code Preference fields.
Enter the 2-digit code for your specialty (Google “service type codes” for a full list).
Check the box for Specialist.
Save your settings.
Now, eligibility results will only show the service types that matter to you.
Verifying New Patients Without Creating a Case
If a brand new patient calls in, and you don’t want to create a full case yet, you can use the EMEDIX Online Portal:
Log in to your EMEDIX account.
Go to Real-Time Inquiries > Eligibility.
Select the payer from the list.
Fill out the required fields (typically policy number and date of birth).
The system will highlight the required fields in red. Once submitted, you’ll receive the same detailed eligibility results you would see inside Medisoft.
This is a fast way to check eligibility during a phone call—without needing to build the patient chart first.
Automating Eligibility Checks with Office Hours
If you’re using Office Hours, Medisoft’s scheduling tool, you can verify eligibility from the appointment screen:
Right-click on the appointment.
Select Eligibility Verification or press F10.
View the eligibility details instantly.
Set It and Forget It: Task Scheduler
Want Medisoft to verify eligibility overnight for the next day’s appointments? Here’s how:
Go to File > Task Scheduler.
Click New and choose Eligibility as the task.
Select your practice account.
Set the schedule (e.g., run at 2 a.m. daily).
Choose how many days in advance to check (e.g., 3–7 days).
Select which policies to verify (primary, secondary, tertiary).
The next morning, open your schedule to see:
✅ Green check marks for verified coverage
❌ Red Xs for issues (like inactive or missing policies)
Click F10 from the calendar to view the full eligibility report.
