How to Use the Write-Off Utility in Medisoft for Bulk Adjustments

Managing old charges and credits in Medisoft can quickly become overwhelming, especially when it comes to small, outdated balances that are hard to collect. Luckily, Medisoft’s Write-Off Utility makes it easy to clear these balances in bulk, saving you time and ensuring your system stays clean and efficient. In this post, we’ll walk through how to use the Write-Off Utility effectively, allowing you to write off old charges and credits with just a few clicks.

What Is the Write-Off Utility in Medisoft?

The Write-Off Utility is a powerful tool in Medisoft designed to help you bulk-adjust old or uncollectible charges. This utility is especially helpful for managing small balances that are unlikely to be paid, such as old charges or small credits sitting on patient accounts.

Here’s how it works:

  • Date Range: You can specify a date range, ensuring that only charges that fall within the specified period are written off.
  • Preview: Before performing the write-offs, you’ll get a preview, so you can review everything before committing to the changes.
  • Credit Balances: It doesn’t just work on unpaid charges—it can also handle credit balances, letting you write off small credits that are too old to collect.

How to Access the Write-Off Utility in Medisoft

To get started, follow these steps:

  1. Go to Tools: Open Medisoft and navigate to the Tools menu.
  2. Select Services: In the Tools menu, find and select Services, then choose Write-Off Utility.

Once you open the Write-Off Utility, you’ll be able to set up your criteria and begin the write-off process.

Setting Up the Write-Off Utility

  1. Create Write-Off Codes:
Before you start, make sure you have the necessary write-off codes set up. These codes are used to indicate the adjustment type when writing off charges. You can set these codes under List Procedure Payment Adjustment Codes. Make sure the correct code is selected when processing write-offs.
    • Credit Reversal Code: Used for reversing credits.
    • Write-Off Code: Used to adjust balances to zero.
  2. Set the Cut-Off Date:
This determines how far back you want to write off charges. For example, if you choose a cut-off date of 2020, it will pull in all charges and credits before that date.
  3. Filter by Case:
You can filter by specific case billing codes (e.g., Medicare, Cash, etc.) if you only want to write off balances for certain cases. Leave this blank to include all cases.
  4. Transaction Balances:
You can set a maximum balance threshold. For example, if you set it to $20, only charges with a balance of $20 or less will be included in the write-off. You can also apply a similar filter to credit balances.

Reviewing and Writing Off Charges

Once you’ve set your filters and parameters, you’ll be presented with a list of charges and credits that meet the criteria. Here’s how you proceed:

  1. Review the List:
Medisoft will pull up a list of accounts that match your criteria. You can select the specific charges you want to write off, or use the “uncheck all” button to deselect entries that you don’t want to adjust. You’ll see details like:
    • Date of the charge
    • Responsible Party (who owes the balance)
    • Balance amount
    • Procedure Codes for each entry
  2. Select Write-Off Codes:
At the bottom of the screen, you’ll need to choose the credit reversal code and write-off code you previously set up.
  3. Preview the Report:
Before confirming the write-off, you can print a preview of the report. This report will show the details of all selected charges and credits, so you can double-check everything before making any changes.

Performing the Write-Off

Once you’ve reviewed the report and are satisfied with the selections:

  1. Click the Write-Off Button:
After confirming, click the Write-Off button. Medisoft will prompt you to back up your data—this is a good practice to avoid losing important information.
  2. Complete the Process:
Medisoft will then process the write-offs. You’ll see a confirmation that the charges have been written off, and they will no longer appear in the list.

Why Use the Write-Off Utility?

The Write-Off Utility is an essential tool for keeping your Medisoft system organized. Here’s why it’s beneficial:

  • Bulk Write-Offs: Instead of manually adjusting each balance, the utility allows you to process multiple write-offs at once, saving you time and effort.
  • Clearing Old Balances: You can clean up old, uncollectible balances or small credits, improving the accuracy of your accounts.
  • Customizable Filters: Whether you need to write off old charges for a specific insurance provider or case, you can easily filter the list to meet your needs.

Final Thoughts

Using the Write-Off Utility in Medisoft can significantly streamline the process of managing old charges and credit balances. It’s an efficient way to keep your records clean, accurate, and up to date, ensuring that you’re not wasting time on uncollectible debts.

If you’re unfamiliar with setting up write-off codes or running the utility, it might take a little time to get used to, but once you do, it’s an invaluable tool for maintaining your Medisoft system.
