If you’re a Medisoft user looking to work faster and avoid common headaches, this post is packed with practical time-saving tips—straight from the transaction entry screen.
1) Search Patients by Date of Birth
Good news: newer versions of Medisoft now allow you to search for patients using their date of birth. Just click the magnifying glass icon in the Transaction Entry screen, change the dropdown filter to “DOB,” and start typing. Medisoft will automatically narrow down results as you go. It’s a small change that solves a big frustration for many billers and front-office users.
2) Skip the Extra Steps—Create a New Patient Directly
No need to leave the transaction entry screen to create a new chart. If you search for a patient and they’re not in your system, simply right-click and select “New” to create the patient chart and case on the spot. That saves several clicks and cuts down on workflow interruptions.
3) Use the “Copy Address” Shortcut for Family Members
Creating a chart for a spouse, sibling, or child of an existing patient? On the far-right side of the new patient screen, the “Copy Address” button lets you pull in address data from another household member instantly. Just select the related patient and Medisoft fills in the rest—no double entry required.
4) Set Smart Defaults to Save Time
Under the Other Information tab, there are a few fields we recommend defaulting:
- Signature on File – Medisoft requires this on all claims. If you leave the signature date blank, it will auto-populate with the date of service.
- Provider Code – If you have just one provider, go ahead and default it. For multi-provider offices, leave it blank and select it manually per patient.
Once you’ve entered your preferred defaults, click the “Set Default” button on the right. Medisoft will apply these values to all new patients moving forward—but don’t worry; existing records won’t be affected.
Pro tip: Accidentally set a bad default (like someone’s name)? Hold down the Control (Ctrl) key while in the new patient screen, and the “Set Default” button will switch to “Remove Default.” One click clears all saved defaults instantly.
5) Add Custom Patient Alert Pop-Ups
Want to alert your team when a patient is in collections or needs special handling? Use Patient Alert Codes. This underused feature lets you:
- Create custom alerts with up to 10-character codes
- Write a message that will pop up on screen (e.g., “Sent to Collections”)
- Choose exactly which screens the message appears on (like appointment scheduling)
To set one up, right-click in the alert code section, hit “New Patient Alert Code,” and follow the prompts. Once active, Medisoft will require the user to click “OK” before proceeding—so no one can claim they didn’t see it!
Final Thoughts
Whether you’re new to Medisoft or a long-time user, these workflow improvements can save you time, reduce errors, and keep your team on the same page. From powerful shortcuts like DOB search and address copy, to proactive alerts and smart defaulting, Medisoft offers more automation than many users realize.
